Quoting software for distributors who win on response time

Answer an RFQ the same afternoon from one shared catalog, see when the buyer opens it, let follow-ups go out on their own, and keep the whole inside sales team quoting the same prices.

Free plan, no credit card needed.

What slows distributors down

The problems, and how Quotup handles them

  • RFQs answered tomorrow lose to the ones answered today

Contractors send the same request to three supply houses. The first complete, clear quote usually gets the order.

With Quotup: Add the customer once and pick products from the catalog by name. A 20-line quote takes minutes, and it goes out as a link the buyer can open or download as a PDF.

  • Nobody knows which quotes are still open

Quotes go out from personal inboxes, and nobody follows up on the ones that went quiet.

With Quotup: Every quote sits in one list as sent, viewed, approved, declined or expired. You see when a buyer opens it, and follow-ups go out after 3 and 7 days.

  • Two reps, two prices for the same part

When everyone keeps their own price sheet, customers notice, and they ask for the lower one.

With Quotup: One shared catalog sets the unit price for everyone. Discounts are visible on the quote, and the audit log shows who changed what.

A worked example

Example: answering a contractor's RFQ

An electrical contractor emails a materials list for a job starting next week. Here's how a distributor's inside sales rep turns it into a quote before lunch.

  1. 1

Pick the contractor from your customers, or add them in a few seconds.

  2. 2

Add each item from the shared catalog. SKUs and current prices fill in.

  3. 3

Apply 5% contractor pricing to the whole quote and set a 14-day expiry.

  4. 4

Send it. The quote shows as viewed when the contractor opens it on site.

  5. 5

They approve on their phone. Convert it to an invoice with net 30 terms, and it syncs to QuickBooks Online.

FAQ

Questions from distributors

Pages for your trade

Can my whole inside sales team share one catalog?

Yes. Everyone on the account quotes from the same products and prices. Teammates can be owners, managers, staff or view-only, and the number of seats depends on your plan.

Will I know when a customer opens a quote?

Yes. The quote is marked as viewed and its timeline shows each time the customer opened it.

Can quotes expire?

Yes. Set an expiry date on any quote. The customer is reminded two days before, and automatic follow-ups stop once it's expired.

Does Quotup replace our ERP?

No. Quotup is for quoting, invoicing and getting paid. Many distributors use it for fast quotes and keep inventory and purchasing in their existing system.

Can we connect Quotup to our other systems?

Yes. The REST API can create and read customers, quotes and invoices, and QuickBooks Online sync is built in.
