Construction quotation software for projects with a lot of moving parts

Quote a project phase by phase, spell out allowances and exclusions in your terms, put an expiry date on prices that won't hold, and take a deposit when the client signs.

Free plan, no credit card needed.

What slows construction down

The problems, and how Quotup handles them

  • Material prices move faster than your quotes

Lumber, copper and drywall can shift between the day you quote and the day the client finally decides.

With Quotup: Put an expiry date on every quote. The client gets an "expires soon" notice two days before, so the decision happens while your numbers still hold.

  • Scope gaps turn into free work

If the quote doesn't say what's excluded, the client assumes it's included, and arguing about it costs you the referral.

With Quotup: Itemize the quote by phase and keep your allowances, exclusions and change-order policy in saved terms that go on every quote. The client signs the whole thing.

  • Big jobs, long gaps between payments

Carrying weeks of labor and materials on your own account is how good builders run out of cash.

With Quotup: Take a deposit when the client signs, then record each progress payment as phases finish, or quote each phase on its own. Customer statements show what's been paid and what's still owed.

A worked example

Example: a basement finish quoted by phase

A remodeler quoting a 850 sq ft basement breaks the work into phases so the client can see where the money goes, with a fixture allowance and clear exclusions.

  1. 1

Add each phase as a line: framing, electrical, drywall and flooring, using per-square-foot prices from your catalog where they apply.

  2. 2

Add a fixture allowance as its own line and explain in your terms how the final invoice adjusts to the actual cost.

  3. 3

    Set a 30-day expiry and a 20% deposit.

  4. 4

The client reviews the phases on their phone, signs and pays the deposit online.

  5. 5

The project invoice is created with the deposit applied. Record the client's progress payments as each phase is finished, and send a statement whenever they ask where things stand.

FAQ

Questions from construction

Something else? Ask us anything.

Can I quote a project in phases?

Yes. Each phase can be its own line with a quantity and unit price, such as square feet of drywall. You can add a discount per line or on the whole quote, and set tax per line where some items are taxed and others aren't.

How do I handle allowances and exclusions?

Add an allowance as its own line and write how it's reconciled in your terms. Save your standard exclusions and change-order policy as default terms so they're on every quote without retyping.

Can I bill a project in stages?

Yes, in two ways. Take a deposit when the quote is approved and record each progress payment against the project invoice, or quote each phase separately so each one gets its own invoice. A customer statement shows the running balance. Quotup doesn't produce AIA G702/G703 forms.

What happens when a quote reaches its expiry date?

Two days before, the client gets an email saying the quote expires soon, and automatic follow-ups stop once it has expired. If prices have changed, reopen it, update the lines and send it again.

Can my estimator and office manager both use it?

Yes. Invite teammates as owners, managers, staff or view-only. The number of teammates depends on your plan.
